Fee recovery, refunds, enrolment responsibilities, and student policies.
Introduction
- This fee recovery and refund policy explains how fees are recovered, when refunds may be considered, and your responsibilities when you enrol.
- When you enrol, you agree to the College's rules and regulations, including: following the Student Code of Conduct; providing accurate information; paying fees in full and on time; completing coursework; and submitting assessments by agreed dates.
- Our agreement is with you personally, not with any third party. You must disclose any past exclusion from the College. Undisclosed exclusions for misconduct may result in cancellation of enrolment.
- Criminal convictions must be disclosed confidentially and are reviewed case by case. The College may amend or withdraw offers where safeguarding matters apply.
- Information in enrolment materials is correct at the time of issue; material changes will be communicated at enrolment. The College reserves the right to amend fees in exceptional circumstances and to correct errors.
Scope
This policy applies to all fees payable to the College.
Aims of the policy
- To clarify the limited circumstances in which refunds or cancellation of fees due will be considered.
- To ensure fee recovery and refund policies are applied consistently.
- To provide clarity on calculation of any refunds due and recovery of outstanding fees.
Cancellation — online enrolments
- For online enrolments, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 apply.
- A full refund of fees paid is available if cancellation is received within fourteen days of initial enrolment and before the course starts.
- If the course starts within the fourteen-day period, the refund is adjusted to reflect the proportion of the course delivered at cancellation.
- After the fourteen-day period, standard refund and fee recovery policies below apply.
- No refund is provided where fees are paid on monthly, quarterly, or other instalment plans.
Refunds — withdrawal
- Withdrawal before the course start date: full refund less a 10% administration fee.
- Withdrawal within the first two weeks after start: 50% refund (except short courses below). If fees paid are less than 50%, the balance remains payable.
- Withdrawal after two weeks from start: no refund; outstanding fees remain payable.
- Short courses (9 months or less): no refund on withdrawal.
- All withdrawals must be notified in writing to Student Services; the effective date is the date of receipt by the College.
- Fees are not normally transferable if you switch to a different course part-way through.
- No refund where instalment payment plans apply.
Course cancellation or rescheduling
- If the College cancels a course or it does not run due to lack of uptake, every effort will be made to offer an alternative; otherwise a full refund is given.
- If a course is rescheduled and the new schedule is not convenient, a full refund is given.
Illness, credits, and discretionary refunds
- Permanent illness preventing continuation: pro-rata refund from the last class attended (medical evidence required).
- Temporary illness: credit to re-enrol within two years (credits cannot be converted to cash refunds).
- No refunds for absence due to work, personal, or financial changes; outstanding fees remain payable.
- Withdrawal at College discretion for policy breaches: no refund; outstanding fees remain payable.
- Quality complaints: follow the College Complaints Procedure via [email protected]. Refunds, if any, are at the College's sole discretion after investigation.
Overseas students
- Visa refusal: refund of fees paid less a £250 administration fee, provided original enrolment letters and an official refusal letter are supplied.
- No refund if you enter the UK on a student visa obtained using College acceptance documents.
- No refund if you leave after a visa extension facilitated by the College.
- No refund on instalment payment plans.
Recovery of fees
- The College takes reasonable measures to recover outstanding fees, including written reminders, debt recovery specialists (costs may be added to the debt), and civil court proceedings where necessary.
- Students in financial difficulty should contact the Finance Team at the earliest opportunity.
- Personal information is kept securely under data protection law. Student details are not sold to commercial organisations.
